Call List Feature

  • A major new feature has been added to build Call Lists for external and internal sales teams, aimed at creating a structured, managed and measurable tool when running promotions, getting customers to commit to visiting trade shows, open weeks, or simply keeping in contact with those that may not have had much activity or attention.

  • Creating a Call List starts with the Power Filters option covered earlier in this document.

  • A new option appears on the Menu bar:

…and once selected, will show one or more “active” Call Lists. They can be thought of as marketing campaigns.

  • Each Call List shows the number of customers to call (those that matched the selection criteria) the number not yet called, called and then how many had a successful outcome.

  • To view and work on a Call List, simply press the “View” button.

  • Once you have entered a Call List you are presented with the customers to call and some summary information about them – ie the last interaction you had with them, the next follow-up date (if set), their average order value and the date of the last order placed and invoice sent:

  • To call a customer, just click the “Call” button. This pops up a form as below:

  • The contact details are displayed for the call, all interaction history is displayed in the bottom left panel, most recent first and the basic trading information is in the bottom right panel.

  • If you call but do not make contact, just click “Log Call But Need to Call Back” and the call list will show that you called but did not make contact. You can then call again.

  • If you make a successful call, then record the call notes in the left hand panel and also select the appropriate Call Result (eg, Got Order, Booked Visit etc)…

Since you should always have a future action on every customer, the “Record Follow-Up Interaction” tick-box defaults to ticked, so then select the type of next action and notes.

You will see that Caliq adds heading text to the Follow-Up Notes to show that it originated from the call list you are working on.

Then select “Log Successful Call” – the Call List then updates to reflect progress and interactions logged will be created automatically on the appropriate customer/lead accounts.

  • At any time, you can view Call Lists and review the calls and outcomes.

  • Call Lists is a new feature carrying a monthly fee but existing clients can have it FOC since we are keen to get it being used.

  • It will need setting up and a Teams training session to understand how to use it.
